Job Summary: 

Working under minimal supervision, you will provide administrative support to the Commercial Operations team and will report to the Senior Director, Commercial Operations.

Responsibilities:

  • Manage department contracts which include and are not limited to the following processes:
    • ERF/SOW submissions and PO creation
    • Accruals
    • Tracking utilization of consulting agreements
  • Assist with annual budget building each year ensuring all Commercial Operations programs and spend are accounted for
  • Track and monitor the CommOps budget to achieve target results and recommend actions to address budget challenges and opportunities on an ongoing basis
  • Conduct monthly budget review meetings with the CommOps teams
  • Coordinate with team members for the Quarterly Business Review Meetings to ensure all information being presented is accurate
  • Process all invoices
  • Work with Procurement to ensure all PO’s are correct and instruct when PO’s should be closed
  • Manage National Convention Planning – including execution of materials, coordination of meeting logistics, appropriate presence, communications and post meeting follow up
  • Manage national and regional meeting requirements (displays, setup, literature, rosters)
  • Participate in quarterly business reviews answering any questions regarding current budget status
  • Process and monitor all SOWs, MSAs, and other contracts with legal and vendors. Helping to obtain answers/approvals of any redlines to agreements.
  • Collaborate with external agencies and key internal cross functional groups within the organization (IT, Legal, Training, Market Research, Medical Affairs, Procurement and Sales and individual Brands)
  • Manage team calendars, conference rooms, schedule virtual meetings, and other planning activities
  • Oversee travel schedules and arrangements
  • Enter and monitor expense reports in Concur
  • Perform other duties as assigned

Qualifications: 

  • Minimum of a High School diploma or GED; College degree preferred
  • 3+ years administrative experience working in a fast-paced, changing environment
  • Excellent communication skills including phone, email and in-person, with all levels of employees
  • Proficiency in MS Office (PowerPoint, Excell, Word) and general office applications such as Concur, SAP, and CRM
  • Strong collaborator
  • Problem solving skills
  • Excellent follow-up and follow-through skills
  • Ability to work independently or in a team environment
  • Customer-centric focus is required
  • Demonstrated organizational skills, attentiveness to detail, ability to work under minimal supervision
  • Ability to handle multiple assignments simultaneously and work within established deadlines

The presently-anticipated base compensation pay range for this position is $74,500 to $91,000. Actual base compensation may vary based on a number of factors, including but not limited to geographical location and experience. In addition, this position is part of the Annual Performance Bonus Plan. Employees are eligible to participate in Company employee benefit programs which include medical, dental and vision coverage; life insurance; disability insurance; 401(k) savings plan; flexible spending accounts; and the employee assistance program. Employees also receive various paid time off benefits, including vacation time and sick time.
